11/18/09 MEETING NOTES

The meeting was called to order at 6:02 pm at the Glendale Library.

Minutes from the October 2009 meeting were approved as submitted.

Moon Valley Grasshopper Bridge:  Paul … Thank you. The race donated $12,500 to Phoenix Children’s
Hospital. Donated over $51,000 over the previous 4 years. For 2010, will use 5-year age groups up
to 60-and-over. The race will be a part of the 2010 ARR Grand Prix series. Disposable chips may
be used. Expand timing mats to cover the entire road. Entry fee remains the same.

Cactus ChaCha:  John: Thank you. Proceeds go to the park. Open to suggestions.

Old Business
Volunteer Report:  Sandra reported that David would like to have a co-worker. Continue to use
paid volunteers.

Registration Report:	  Sandra reported all is well.

Special Activities Report:  Diane has resigned her position.

Finance Report:  Hal provided a comprehensive written report for 2009, up through today (11/18)
that showed our total year-to-date income as $102,888.14 with expenses of $114,3666.85 over the
same period.  The 2009 year-to-date financials result in a net deficit of $11,478.71.

Membership Report:  Norm provided a written summary of the current membership.  The total number
of members (693) has decreased by 19 from October to November.

Club Clothing Report:  Charlie reported the he will be working on the inventory. Have clothes
loaded up for Thanksgiving. Since Phil was not at the meeting, Charlie had some questions about
selling clothes via Artcraft. He had some questions regarding the locations of the stores, the
amount of product that would need to be sold, etc. Megan suggested that a full line of clothing
need not be sold at the store. Perhaps a RaceReady tech shirt or two. Will wait for further
information.

Race Day Clothing Report:  Erin reported that she had come up with a design for the 24 Hour Race.
steven said he had forwarded her an email from Phil stating that Artcraft was designing the logo.
Erin suggested doing a better job of making sure the email subject pertained to the contents of
the email. Erin is going to send out the artwork anyway. Will wait for the artwork from Phil.

Pace Team Report:  Karla was not present but Sandra reported that they are looking for people to
be pacers at the PF Chang’s race.

By-Laws Report:  Raj was not present

Marketing Report:  Mark reported that he was still working things out for each race (i.e., goodie
bags, vendors). Mark will work with Erin on putting together a marketing plan.

Social Activities Report:  Megan reported there is a social calendar page on the website as well
as an article in the paper. The next scheduled event is  on December 18 -- a holiday night run in
Moon Valley. Followed by buy-your-own-pizza. Sandra talked about having a ultimate Frisbee
get-together. Megan mentioned February

Ultra Running Report:  Christopher was not present

Recent Races/Events:
•	Monster Mash & Dash (31 Oct) – Don’t hold it on Halloween in the future. Maybe have pizza and
soda rather than spending a lot on food at Victory Lane.

•	Phoenix 10K (08 Nov) – Too many split callers. Some splits were near loud music so it was
hard to be heard. Maybe next year provide clocks instead

•	Just Another Mad Dog (14 Nov) – Nice location for the race. Will continue to grow.

New Business
Special Activities:  We will need to immediately identify resources to fulfill this position now
that Diane has resigned.  The two key areas that need to be addressed are food and awards.
steven has agreed to take-on the awards responsibility for the near-term. Will have to find a
point-of-contact for day of race. Immediate concern is Thanksgiving

"Old" ARR Van License Tags:  The tag renewal for this vehicle comes due this month. In addition
to the expense of the renewal and emissions, Hal figures the operational cost is $200 per month.
Since we’ve had three vehicles, the van has been used at Summer Series #5. Sandra suggested it
would be cheaper to rent a Uhaul to use on a "as needed basis." Everyone seemed to agree. steven
will work on getting a replacement for the title. Donate the vehicle to a charity. American Cancer
Society? Ask Bill to talk to Jessica about this? Or Sandra?

Upcoming Races:
•	Thanksgiving Day Classic (26 Nov) – Numbers are finally up from last year. Hal will wait till
Monday to see if more shirts are needed. They will be white. Need a point-of-contact for food.
The food will be kept in the concession area with volunteers loading up pans. In lieu of bagels,
steven will purchase 2000 granola bars. Need to buy some more pretzels and chips, too. John Greer
will help with registration. steven is processing the disposable chips for runners 1201 to 2000.

•	Arizona Ironman (22 Nov) – We are providing our ChampionChip timing equipment. Turnover the
equipment on the morning of November 20.

•	Alana’s Champs for Research (13 Dec) – This 2nd annual event will host a 5K and 1 mile race
that will be staged at Kiwanis Park.   The 5K course has been certified. Have additional
requirements from the city of Tempe. Insurance policy re-write has occurred. Waiting for some
information about selling club clothing

•	Desert Classic 30K (20 Dec) – We are on-track for this event. A traffic control plan has been
submitted. Cannot park along side street by finish line. Arranged for police to be there. Got the
insurance. Sandra talked about possibly having the 30K at Rio Vista Park in 2010. Hal doesn’t
quite see how the relay will work. Sandra said she would address the logistics.

•	24-Hour Run to the Future (31 Dec) – Not much other than what was discussed earlier about the
artwork.

•	Mesa 10K (20 Feb) – We have been asked to time this race. If Foothills were to be held in
2010, this would probably be the date of that race. In all likelihood, Foothills will not be
staged.

•	Race Judicata – Have been asked about timing this race. First Sunday in October

•	Race committee: Hal reported that most of what had been discussed had been mentioned during
the board meeting. The race committee reviewed the Desert Classic Marathon race checklist and
approved it.

•	With Diane’s resignation, Norm wanted a clarification on the free membership that board
members get after a year of service. Megan made the following motion: A free year of membership
will be given to a board member for every full year they serve on (from one I-Did-A-Green-Run to
the next I-Did-A-Green-Run). It was seconded and approved.
