ARIZONA ROAD RACERS BOARD MEETING MINUTES FROM 10/25/06 BOARD MEMBERS PRESENT Louis Bolivar Gary Culver Phil Davis Lindsay Edmondson steve finklestein Sandra L. Fontaine Hal Gensler Norm Janoff Sharon Ross GUEST PRESENT Mary Greer John Greer Jim Hoffmann Laura Nagy The meeting was called to order at 6:33 PM library time. The meeting agenda was adopted and minutes from the previous Board meeting on 9/27/06 were approved as corrected and amended. Guest Paul Ruckel addressed the Board regarding his first annual race The Grasshopper Bridge 5K in September of this year. Paul was most complimentary on the job The Arizona Road Racers did in regard to timing and staging his event. Preliminary figures indicate $8000 will be presented to Phoenix Children’s Hospital as a result of his efforts from the Grasshopper Bridge 5K. Changes for next year’s event on 9/29/07 will include full age group awards. TREASURERS REPORT Hal Gensler reported a bank balance of approximately $23,000 and stated that the budget for 2007 will be presented at our next Board meeting on 11/29/07 MEMBERSHIP REPORT Norm Janoff presented a current membership total of 1714 indicating an increase of 26 members this month. Membership number 10,000 was recently awarded to Mr. Zwissler who will be recognized accordingly. PRESIDENTS REPORT Steve is working on an agreement to time the 2007 State Cross Country Championships. Plans were discussed relating to timing the Rails to Trails run in Prescott next month. CLOTHING REPORT Sharon Ross reported 50 Tyvek jackets have been ordered from Leslie Jordan at a cost of $1502.00 and the Board established a retail price of $45. An order has been placed with RaceReady for approximately 180 pairs of shorts at an estimated cost of $2088 and 167 shirts costing $2573. These items will hopefully be delivered by 11/09. The Board also approved purchase of 20 ROAD ID ankle bands retailing for $4 that will accommodate both ROAD ID and a timing chip. Pre purchase of gym bags and Leslie Jordan vests with embroidered ARR logos was approved as well as the decision to continue to sell Lite and Motion caps on consignment without the club logo. Approval was given to donate 6 pairs of orange gloves and 2 off-white cotton caps to our Monster Dash at Victory Lane. Lite and Motion caps have been mailed to the 6 winners of the Random drawing at South Mountain Classic. There was consensus to purchase a new canopy for $40 by reimbursement to Sharon upon presentation of the receipt. EQUIPMENT REPORT Jim Hoffmann purchased a new lock and keys for the warehouse. He serviced and repaired all generators and signs in addition to completely cleaning the truck. The new Plexiglas clock face is ordered from California and Dean Bailey is repairing the three clock brackets. The radio’s have proven to be valuable assets to our efforts at races. Jim is also buying additional weights for our snow fencing. ULTRA RUNNING Gary Culver discussed plans for the Crown King dinner in March and the Board decided to once again pay for club members meals who RSVP in advance. OLD BUSINESS VP of Volunteers Lindsay Edmondson reported on enlisted volunteers for New Times, Mad Dog, and Thanksgiving Day Classic. Lindsay is also handling the warehouse rent increase matter with U-Haul. NEW BUSINESS The Board approved a $250.00 donation to Horse Lover’s Park for equipment repair and agreed to donate 5% of net race proceeds from further events held at this facility to The City Of Phoenix Parks and Recreation. A Yahoo news group originated by Dr. Bodo Diehn was discussed and Gary Culver volunteered to moderate on a trial basis. Guest Laura Nagy who is in charge of our Scottsdale Community College track workouts initiated and gained approval for a plan to hold open timed mile runs with complimentary pizza and soda on alternating months with our Glendale Community College mile/pizza programs held four times a year. The first pizza rewarded mile will occur at Scottsdale and a schedule for future dates will follow. John and Mary Greer who have worked so hard to make their event The Cactus ChaCha the BEST trail run in the state have initiated an award and made this presentation to the Board. The CEREUS Award was created to recognize an individual who has made an extraordinary contribution to the Arizona running community. The award was named after the Cereus Cactus which blooms only at night. Just as the actual work (blooming) of the cactus is unseen by most people but enjoyed by all who see it, this award is given to someone who’s contribution is done "behind the scenes" - unseen by most people, but enjoyed by large numbers of runners. The award will be given each year and the receiving individual must have some connection to the Cactus ChaCha Trail Runs as a participant, volunteer or sponsor. We believe it is vital to recognize some of the great individuals, who are generally unknown to runners, that bust their butts to make running in Arizona so much better. Previously there was no venue to acknowledge these people on a local level, so we began this award. On behalf of John and Mary Greer and The Cactus ChaCha Trail Runs the first annual CEREUS Award is hereby presented to, Mr. steve finkelstein President of The Arizona Road Racers Running Club.
