The meeting was called to order at 6:05 pm at the Glendale Library.

Minutes from the September 2008 meeting were approved as amended.

Guest Presenters

Paul provided a very in-depth report and analysis of lessons-learned from the Grasshopper Bridge 5k.  Next
year’s race will be held September 25th, 2009 and his goal is to have 1,000 runners.

Mike and Nanni shared their AZSR brochure and reprint of an article from the Sep 2008 issue of
hersports.com which provides the details of this student running program.  The have recently attained
501(c)(3) status for this second-year work-in-progress organization.  Their primary goal this evening was
to acquaint us with their organization and to explore opportunities for where we can provide a cooperative
benefit to the at-risk student community.

Karla presented her written proposal to have the club become more proactive and involved in providing
pacers for just than just the P.F. Chang Rock -n- Roll AZ events.   A vote occurred and is discussed
further in New Business (below).

Old Business

Volunteer Report:  David reported that we had an outstanding volunteer experience (35) at the ARR Classic
South Mountain 20k/5k event.  He has also handed out three Volunteer Coordination clip-boards to be used
in his absence or in addition to his activity.

Registration Report:  Sandra was not present so there was no report.

Special Activities Report:  Diane was not present so there was no report.
Finance Report:  Hal provided his written report showing 2008 Year-To-Date (YTD) receipts, as of today, of
$83,800.03 and expenses (over the same period) of $83,093.78.  The YTD net is $706.25.  The board also
voted to increase our liability insurance coverage from $1M to $2M.

Membership Report:  Norm provided a written summary of the current membership.  The total number of
members as of the 21st was 1,294 which reflects a decrease from last month’s numbers by 97 and a similar
decrease from this time last year by 247. It was noted that memberships declined from August through
October of this year, hence the I-Did-A-Run did not materially impact the slow, steady, month-to-month
decline that we continue to experience, except for the September blip where we have both the I-Did-A-Run
pre-registered memberships and any memberships from the previous September.

I-Did-A-Run:  The main goal of this event is to boost ARR membership, but over the past two years we have
not shown a substantial benefit toward that end.  The board discussed options to modify the race payment
structure for non-members to incentivize them with greater financial “buy-in” for membership.  The board
deferred the specifics of any proposed change to the Race Committee, for our review at next month’s board
meeting.

Clothing Report:  Megan reported that we ran out of t-shirts at South Mountain due to the abnormally large
percentage of registrations that occurred after the shirts were ordered.  We agreed to modify the text on
the registration forms to more clearly state that shirts are not guaranteed if runners register after the
cut-off date.  Mad Dog t-shirts are in-work.  She also provided options for the Desert Classic shirts and
will coordinate with our designer on the final decision.  We also need to start thinking about
Thanksgiving 2009 now, if we intend to change our designer for this event.

Marketing Report:  Sally reported that she is getting up-to-speed and that she is lining up vendors,
sponsors and chiropractors, etc for upcoming races.  She also shared some ideas on how to better "market"
our upcoming events.

Upcoming Races:
•	Monster Mash (0ct 25):  This fun-run is will be held at Victory Lane Sports Complex.
•	Just Another Mad Dog (Nov 8):
•	AZ High School Cross County Championships (Nov 8):  steve needs help with setting up the timing. David
    will poll our volunteer pool.
•	Phoenix 10k (Nov 9):  Need mile-split-time callers.  The RD wants us to rent ladders for time callers
    to use and we will be reimbursed for that expense.

New Logo Review:  Megan lead the discussion on how we could conduct membership voting.  The board narrowed
the selection to 3 new designs and the existing design, and then discussed how to implement an on-line
voting process.  Part of that process requires that a minimum of 35% of the total membership must vote in
order for the vote to be valid.  The on-line voting will require ARR membership and will only run for one
calendar month (perhaps the month of November).  Megan and steve will expedite the posting and
communication of the voting process.

New Business

Pace Team:  The board reviewed Karla’s proposal and voted to accept it, which includes creation of new
board position, which she will occupy, VP of Pace Teams.  Congratulations Karla!

Web Site Security:  There is a malicious hacker who continues to attack our site.  steve is coordinating
with our host server to see if it is possible to tighten up his/our security.

Membership Committee:  Phil raised the issue that perhaps we should create a committee to investigate
ways to bolster our dwindling numbers. We will revisit this idea at next month’s meeting.
