BOARD MEMBERS PRESENT Ian Thomas Sandra Fontaine Phil Davis steve finkelstein Louis Bolivar GUESTS Robert Huotari, Gary Culver, and Hal Gensler Meeting location at residence of the Secretary Phil Davis Meeting was called to order at 6:41 P.M. The agenda for the evening was adopted and minutes from the 8/17/05 meeting were approved as written. The Board of Directors wishes to express great satisfaction with the announcement of steve finkelstein as President of ARR for the duration of this term. A unanimous vote of approval was recorded and our gratitude extended to steve for his offer to occupy this important position. Ian expressed questions relating to the Grand Prix Series 2006. Hal Gensler reporting from the Race Committee answered all inquiries including reasons for conflicting GP events on existing ARR race dates July 4th and Thanksgiving Day. Ian also reported our tee shirt printer will deliver shirts for future events to us for $25.00 as apposed to driving to Tempe to pick them up. Louis proposed we initiate a Committee for food and beverages purchases, and a Committee to pursue a variety of different awards for future events. Sandra announced Lindsay Edmonson is volunteering to contact members interested in working at our events. Discussion followed relating to possible means for volunteer incentives. Robert Huotari, the Chairman of The Financial Committee reported a current Bank balance of $17,511.10. On a lesser note, the Club lost $126.00 on The Mazatzal’s Trail Run. A contributing factor was the printing costs of 25 shirts amounting to $185.00. Robert informed the Board that anyone receiving compensation for services in excess of $600.00 must submit a 1099 form. Robert proposed a request to the Board that will allow Hal Gensler CPA access to The Bank of America online records of all past checks written. Transactions will be posted in Quickbooks. Data recovered will show who received any compensation in the past and assist in filing of tax returns and future budgets. A motion was made and approved to allow this action. President steve reported the signing of an agreement with the Arizona Interscholastic Association to time the 4A/5A State Cross Country meet on 11/05/05. The 1300 participants will each wear two timing chips that will necessitate the rental of additional timing chips at a cost of $1.00 per chip. Any lost chips will cost $5.00 and the schools will be responsible for all payments. The Club is receiving numerous inquiries including timing of Arizona Senior Olympics events. Future races in Flagstaff and Goodyear are being secured by contract negotiations. Several clubs and individuals are renting clocks and other timing devices from the Club. In addition our Chip Timing equipment will be rented to time the upcoming Soma Ironman Series. steve is also in charge of membership for ARR and reported a total membership as of 9/24/05 of 1820 members. Hal Gensler, chairman of the Race Committee delivered the Race Committee report including several recommendations. The first suggests beginning with The Desert Classic 30K event, that members pay the Active.com fees. Inquiring about the possible use of Pay Pal was mentioned. The Race Committee suggests we look into a points system for volunteers as further incentive to help out at events. Gift cards, free race entries could be given to volunteers at a year-end dinner. Lindsay Edmondson our volunteer coordinator and Monique Cody will continue to research and develop this program. The RC would also like to have non Board members from all valley locations join committees and assist in race activities. The RC also recommends possibly securing one compensated individual to Race Direct all club-timed events. Discounts for members entering events on race day were also suggested. A possible $5.00 discount for 30K’s and Marathon’s and $2.00 discounts for 5K, 10K and Half Marathon’s. The Board wishes to thank and acknowledge all committees for their diligent work to date. The Communications Committee is considering modification of our web site to allow members to log in and obtain information relating to current membership status and expiration dates. Redesigning of the Newsletter format is underway. Gary Culver race director of The Crown King Scramble 2006 is asking the Club to coordinate the pre race dinner and packet pick up at Bill Johnson’s restaurant located at 19th Ave and Bell Road on Thursday March 16th 2006.
