09/24/08 MEETING NOTES

The meeting was called to order at 6:06 pm at the Glendale Library.

Minutes from the August 2008 meeting were approved as submitted.

Organizational meeting -- Phil Davis was welcomed back to the board. Another new board member, Sally
Meyerhoff, was in Akron, Ohio, preparing for an 8K National Championship race.

Old Business

Volunteer Report:  David reported that we squeaked by at the I-Did-A-Run. Will need volunteers at the
South Mountain Classic and the AZ Firechiefs Run

Registration Report:  Sandra reported that no complaints about reusing bibs.

Special Activities Report:  Diane implemented cantaloupe. Seemed to go well.  Contact people about picking
up their awards.

Finance Report:  Hal provided a written financial report showing a 2008 Year-To-Date (YTD) receipts, as of
today, of $79,703.67 and expenses (over the same period) of $75,830.33.  The YTD net is $3,873.34.

Membership Report:  Norm provided a written summary of the current membership.  The total number of members
as of the 24th was 1391 which reflects an increase from last month’s numbers by 34.

Clothing Report:  Megan reported that we have clothing. Didn’t sell much I-Did-A-Run. Loreen is working on
a design for South Mountain. Nothing done with PayPal yet

Jerome:  steven reported that things went well. Numbers were down. Less people signed up the morning of
the race. Make sure that at next year's race, there are sufficient numbers in the sizes for all entrants.

I-Did-A-Run:  There was an issue with volunteers due to Robert’s absence. Do we want awards for next year.
Change the structure of I-Did-A-Run for next year. Discuss at next board meeting.

Grasshopper Bridge:  steven reported that numbers are higher for the upcoming race. Things are on track
for this coming Saturday's event.

New Business
P.F. Chang’s Rock -n- Roll AZ Pacer Sponsor Status:    David reported about no sponsors needed. Karla
approached Sandra about having ARR being pacers for other marathons like Tucson, Las Vegas, new AZ
Marathon. Karla would get sponsors to cover travel and lodging.

Board Member Family Member Extension:  Norm will extend family memberships

New Logo Review:  With David's help, Megan presented all of the submitted logos. Deadline ends on
September 30. Once all logos are submitted, will try to figure out a method of allowing membership to
select a logo, including the current logo.

Monster Mash:  Monique would still like to be involved. She will contact Victory Lane Sports Complex about
the logistics

Half Marathon for Grand Prix: Discussion about various races (Mickelsen Half Marathon) including some down
south (Valley of the Gold Half Marathon, Sabino Canyon 12K). Hal will come up with something

Chiropractors for Races: A few chiropractors have called about "volunteering" at the South Mountain race.
The decision was made to let Sally handle it

Harvey Beller -- lifetime membership:  steven discussed granting a lifetime membership for Fran and
Harvey Beller. Everyone was in agreement. steven will provide Norm with the Beller's home address.

Race director check list -- Hal may not be done by next board meeting. Roy Weinberg was kind enough to
scan it in and convert to a text format

Ideas -- discuss future events (based on race committee) -- more club meetings, etc. Still in discussion

Windshirts for December 2009 - Megan would like to order windshirts for the 30K in December 2009. Megan
will send Hal some pricing numbers and he’ll let Megan know what the race committee decides.


Thanksgiving Day brochures -- Find out how many people want. Megan/Norm want them. Sandra will want some.
Hopefully they will show up soon.

Thanksgiving Day meeting -- met with Bridget Binsbacher. Have Diane take a look at the concession stand.
Get Sally to try to find booths. Contact Kim Portelli about working on shirts.

Charity Runner -- Phil wanted to thank the board for its support. Count is up to 50 runners.

Upcoming Races:
o	Arizona Firechiefs -- October 4 at the Renaissance Convention Center
o	Run for Congo Women -- October 5 at Kiwanis Park. Sandra and Robert will help steven with the course
o	South Mountain- CONES! Hal may be gone that weekend. Talk to PJ about where to put cones. Robert is
    asking about moving registration and food towards start/finish area.
o	AZ High School Cross County Championships -- occurring same day as Just Another Mad Dog. Will also
    need someone to set up booth for Phoenix 10K (following day)
o	Explorer’s Race -- November 15 at Peoria Sports Complex
o	Running with the Heard -- November 22 at Heard Museum West in Surprise. Will not be chip timed as
    equipment is being rented for Ironman race on the 23rd.
o	Alana’s Champs -- December 6 at Wesley Bolin Plaza. Timing the race
o	Fiesta Bowl -- steven thinks that the chip system is going to be rented for this race
o	Desert Classic 30K -- December 21

Power stations for vehicles -- okay to purchase them
