The meeting was called to order at 6:05 pm at the Glendale Library.
Minutes from the August 2007 meeting were approved as submitted.
Organizational Meeting
Congratulations to all of the 2007-2008 ARR Board members. Five returning members and three new members
were elected during the I-Did-A-Run event. The new members are David Bluestein (Volunteers VP), Bill
Rowell (Secretary) and Megan Powers (Clothing VP). All returning members will serve the club in their
previous capacity. Three positions remain open; Policies & Practices, Community Relations and Ultras.
Old Business
Volunteer Report: As David was unable to attend tonight’s meeting we have nothing new to report from this
committee.
Registration Report: As Sandra was unable to attend tonight’s meeting we have nothing new to report from
this committee.
Special Activities Report: Diane reported that there are still a few Summer Series medals and plaques that
have not yet been picked up. We will continue to bring these to the Tuesday track gatherings and
scheduled ARR races through the end of December. After which they will be recycled. We will run a note
in the News Letter throughout the rest of the year to make members aware of this plan.
Finance Report: Hal provided a hard-copy of the year-to-date financial statement. Total Income:
$92,133.84. Total Expense: $83,209.28. Total Net Profit: $8,924.56. He also provided a detailed
breakdown of the Summer Series financials showing a net profit of $20,560.
Membership Report: Norm stated that our current membership count is 1,054 member families, representing
an actual number of members as 1,569. These numbers represent a decrease, year-to-date, of about 6½ %.
Clothing Report: With Sharon still out of town, Megan has not yet had a chance to get a complete
turn-over from her. Megan showed a proposed shirt design for the South Mountain Classic 20k/5k race.
The design would use an other-than-white shirt (e.g., beige, tan, chocolate, etc) and a black Southwest,
Native American-themed graphic on the front. She will place the shirt order next week. She also inquired
as to the status of the upcoming Thanksgiving Day race shirt design. Kim, who created our race brochure
has three prospective designs from which to choose. We also need to coordinate with our contact in the
Peoria Diamond Club, who provided us with the shirts at last year’s race. Steve will get the design
options from Kim and Hal will provide Megan with the Diamond Club contact. She is also looking into
ordering more white cotton ARR t-shirts to replenish our very limited stock-on-hand. She’s also
entertaining the option to offer something other than cotton t-shirts for at least one upcoming race.
She’ll investigate other options, coordinate with the Race Committee and get back to the board with more
details.
Jerome Hill Climb: Steve reported that we had 40 more participants this year than last year, for a total
of 180. It was also suggested by many runners that we consider moving the race to Sunday, rather than
Monday, so as to avoid the returning holiday traffic. The Board agreed to move the date for the 2008
race to the Sunday immediately before Labor Day. We’ve also been able to confirm that the race was first
run on Labor Day 1971.
I-Did-A-Run: While the race has always started at 8 o’clock, this year it was unusually warm and many
runners inquired if we could start the race earlier next year. The Board agreed to move the start time to
7:15 am for next year’s event. There were about 50 less runners this year than last year, perhaps due to
the heat. There were also several comments regarding water; the cups were too small and they would have
preferred a second water stop at the start/finish line. The new banner was used and there were several
positive comments on how good it looked.
Site for Desert Classic 30K: The Indian Reservation has declined to host us and cited that the primary
concern was their liability. With no other viable options, we will once again stage this December 16th
race in Surprise.
Crown King Scramble: We still have no Race Director, which places this year’s event in jeopardy. There
are still, perhaps, up to three folks who may be willing and able to step up and save this event. Steve
is coordinating with each of them.
Other Races:
· We will time a regional Cross County race in Tucson on Saturday the 22nd.
· The remaining ChampionChip equipment will be used for a Tempe triathlon on Sunday the 23rd.
· We will time the Moon Valley Grasshopper Bridge 5k on Saturday the 29th.
· The South Mountain Classic will be held the following weekend, October 7th. Diane will not be at the
South Mountain Classic and will coordinate a back-up replacement to handle the food and awards. Steve
will also check with the folks at local Road Runner Sports stores to see if they are willing to host
the refreshments tables.
· We are pursuing a new RD for the Mad Dog run.
Cell phone for van: Following up from an action from last month’s Board Meeting, we reviewed several
options that included both pre-paid and two-year contract programs. We agreed to go with the most
economical pre-paid program. Bill will select the best plan and present it to the Board.
New Business
Ghosts and Goblins: This is tentatively planned for Saturday evening (5:15 pm start) the 27th of October
at Victory Lane Sports park. Sandra was volunteered, in absentia, to coordinate and publicize this event.
Initial discussion of volunteer(s) of the year: Last year we awarded ten volunteers $25 ARR-bucks at
our January all-club meeting. We proposed doing the same thing this year and will coordinate with David.
Ragnar Relay del Sol: Bill will draft a paragraph for the News Letter and the Web Site soliciting
interest in getting an ARR Team together for this 189 mile relay from Wickenburg to Scottsdale. The
event will be run over a 24-hour period beginning February 29th, 2008.
Starlight Elementary School: Ruthanne Scott, a teacher at this school, has again requested that we
provide free entry to ARR races for these children. The Board’s discussion evolved to a proposal to
offer all children, 17 and under, free entry to all ARR races. The only stipulations would be that they
need to pre-register and their registration will not include a shirt. They will be able to purchase
shirts separately, if they so desire. This proposal was unanimously accepted and will start with the
Desert Classic 30k race. Steve will advise Ruthanne of our decision.
Thanksgiving Race: As we buy almost all of our race food and ice at the Fry’s at 91st and Olive, Diane
will check with their regional manager to see if they are interested in providing some level of
sponsorship for the pies that we use for awards for this event.
