06/25/08 MEETING NOTES

The meeting was called to order at 6:03 pm at the Glendale Library.

Minutes from the May 2008 meeting were approved as submitted.

Old Business

Volunteer Report: David reported that he is actively soliciting volunteers for the SS#3 race. In order to
assist with ARR Bucks accounting, David will ask each volunteer to sign and print their name on the back.

Registration Report: Sandra mentioned that there is nothing to report from registration other than that
she is asking ChampionChip owners to reuse their orange race bibs.

Special Activities Report: Diane commented that she is working on the logistics for the SS#3 race, such as
one hamburger/veggie burger per person, as she is starting her grocery shopping list for this event.

Finance Report: Hal was not present so there was no financial report provided.

Membership Report: Norm provided a written summary of the current membership. The total number of members
as of the 24th was 1,413 which reflects a decrease from last month’s numbers by 18 and a similar decrease
from this time last year by 198. There also appears to be a slight decrease in the number of multi-year
memberships.

Clothing Report: Megan reported that we sold more than $200 in clothing at SS#2. When she notes a
critically low inventory status of several items, she replenishes those items in a bulk order. She has
posted the X-Cart software on the ARR web site that will provide on-line sales support and inventory
control.

Summer Series #2: Steve reported that the only real problem was the apparent lack of parking due to poor
signage and misplaced cones.

New Business

Remaining Summer Series: Volunteers need to check with steve to confirm the early "show times" for each of
the next several races. Some venues have city park gates that are not opened until 5 o’clock A.M. We
appear to be on-track for the next three races.

Jerome Hill Climb T-Shirt: Laura Nagy has proposed a new shirt artist/designer (the new Mayor of Jerome)
that is more expensive than our existing designer. The board would prefer to stay with our current
designer and supplier. Megan will coordinate with Laura on how best to proceed and still maintain a good
relationship with the citizens of Jerome.

Use of PayPal for on-line clothing sales: Once Megan "goes live." the X-Cart software will require buyers
to print the invoice page and mail a check to the club. In order to utilize PayPal we would need to
increase shipping and handling charges to cover the PayPal expense. There are still some accounting
issues that Megan will need to investigate before we can implement a PayPal option. The consensus was
that if we do not need to create an additional, special, clothing bank account, then Megan is authorized
to turn on the PayPal option. In addition to PayPal, we will also maintain the option to purchase by
check.

Board Compensation: If a board member does not run during a race due their volunteer duties, they will
receive $5 ARR Bucks.

Revision of age group categories: There have been requests by some of our senior racers to add an 80 and
over age group category, we currently have 70-74 and 75+ categories. We elected to maintain our current
age groupings, though this may change if we have more people in the 80+ category in our races.

Addition of Clydesdale (Athena) age groups: The board elected to defer this to the Race Committee for
their recommendation.

New ARR Logo: There has been some discussion among the membership to consider migrating to a new ARR logo,
as the original logo is more than 20 years old. Megan has several ideas on how to proceed and will take
the action to start exploring this possibility.

Charity Runner Sponsorship: Bill provided a follow-up to last month’s discussion in this topic. There are
currently 15 registered Charity Runners (3 of which are already ARR members).

Referring to the ARR By-Laws:
·	Statement & Purpose: "promote running, fitness and a healthy lifestyle for the benefit of its
                          members and the community."
·	Article III, Number 3: "May support community activities and other organizations that engage in
                            similar activities."

The club would determine the worth of the each of the memberships that would be donated and that total
would then determine the level of sponsorship with Charity Runner. Level of sponsorship results in
acknowledgement of ARR support on the Charity Runner website, ARR name on brochures and posters, ARR logo
on the back of the Team Charity Runner shirts, ARR logo on Charity Runner banner at the PF Chang’s Rock
-n- Roll marathon, and visibility in a leadership role in the fight against cancer.

Discussion focused on what the actual cost to the club would be. We agreed that free-of-charge members
would only get an electronic version of The Road Racer to minimize the real costs to the club. We would
also request benefits at the Charity Runner Gold Level, independent of how many memberships we actually
provide. We were also concerned about similar requests from other charity organizations and agreed to
address them one-at-a-time should they come forward.

The board agreed to authorize this sponsorship for one year and will re-evaluate next year. Bill will
close the loop with Charity Runner.

Upcoming Race Timing Opportunities: We continue to be approached about the tentative Arizona Marathon
looking for our support in timing this event. There are several negative issues associated with this
event including timing, staging, schedule, etc. steve will keep us posted, but it looks like we may be on
the hook for this event. The "Million Can March" event, sponsored by St Mary’s Food Bank, went to
another timing company.

Ironwood High School Track: For insurance purposes, steve will need to contact Bob Flint (USATF AZ) to
see if there is an umbrella policy that would cover ARR training events -- and if so -- in-turn provide
that information to the high school, so as to alleviate any level of liability for the school.

Mad Dog: There is still no venue confirmed for this event.

Gaspin’ in the Aspen: Sandra stated her appreciation for ARR-run events after a less than stellar
experience at this race. She reiterated the benefit and value that runners of our events enjoy, compared
to those that are organized by other organizations
