BOARD MEMBERS PRESENT Lindsay Edmondson Diane Bailey Sharon Ross Sandra Fontaine steven finkelstein DISTINGUISHED GUESTS: Bill Rowell Meeting called to order at 6:45 p.m. The February board meeting minutes are approved. The March board meeting minutes approved. Old Business steven finkelstein reports on ARR’s involvement in recent races. The Ahwatukee Foothills YMCA event went well. ARR rented equipment to the Arizona Ironman; all equipment was returned in nice condition. ARR has invoiced the Ironman event $1,500. Run for Cheetah had 759 official participants. There was some confusion at the race due to the fact that the Mothers Against Drunk Driving were staging a walk at the same location at the same time. ARR is expecting to net $1,200 in profit from this event. Six timing chips were lost. Finally, ARR provided timing services for the AZ Tech challenge 5K run and 15K racewalk. Logistical difficulties resulted from decision to have four separate areas for the start and finish lines. Next year, the 5K may be staged the night before to avoid this problem. Clothing report. Sharon Ross reports that she has sent in an order for more shirts. She has submitted the design for the Luck of the Draw shirts to Steve Burnett on April 9th; the actual order will go in on May 7th. ARR clothing is selling fairly well at the moment. Volunteer Report. Lindsay Edmondson reports that ARR may need more volunteers for timing the upcoming 5K run at the Walk to End Domestic Violence event in downtown Phoenix. The Club has sufficient numbers of volunteers to man the aid stations for the upcoming Luck of the Draw 8K in Peoria. Bill Rowell adds that he can help with registration at Luck of the Draw. Registration Report. Sandra Fontaine reports that all is well on the registration front. Special Activities/food report. Diane Bailey reports that for the Luck of the Draw, she would like to provide runners with grab bags of post-race snacks to add some element of surprise to go along with the “luck of the draw” theme. Other food-related logistics are discussed. Diane also reports that medals for the Luck of the Draw have been ordered. There is extended discussion about medal options for the upcoming Summer Series races. New business: Walk against Domestic Violence. The club is timing the 5K run for this event. steven finkelstein has been asked to arrive and set up the timing equipment several hours before the race starts. steven will be sure to bring a book to read. American Cancer Society Relay for Life. Bill Rowell advises that donations are up, but that it does not appear likely that ARR will reach its fundraising goal of $1,000. ARR’s team has six members participating. There is discussion concerning the supplies needed to support the team at the event. Weiner Dash. Despite some earlier, pre-meeting discussions about possibly canceling this event, the Weiner Dash is on for May 5th. Diane Bailey will check with Gary Culver about measuring the course. Diane will also provide food (hot dogs and a vegetarian option) for the event. Luck of the Draw. The 8K course has been certified. Sharon Ross reports on her successes in persuading local business to donate prizes for the event. Starbucks will be providing free coffee to runners. Other logistics for staging this race are discussed. Sharon Ross moves to invite 1,300 Peoria School District kids to participate in the Luck of the Draw 2-mile fun run free of charge (t-shirts not included). The motion is seconded. There is extended discussion concerning the proposal, including the timely delivery of flyers, additional food needs, encouraging kids to run, expected turn out, and the potential for parents to volunteer. The Board u nanimously votes in favor of the motion. Summer Series. steven finkelstein reports on his efforts to obtain certificates of insurance and permits. There is discussion about expanding free entries to all kids, in addition to the current policy that provides free entries to high school and grade school kids. steven finkelstein moves to allow all kids currently in high school and younger to run for free during summer series if they pre-register. The motion is seconded. Discussion ensues, particularly concerning the need to strictly enforce restrictions (i.e., no free entries for race-day registrants). A vote is taken and the measure is approved unanimously. Sandra will order port-o-johns for Summer Series, or check with Robert Huotari to see if he is taking care of this. Robert may also be taking charge of organizing water stations. Miscellaneous Items. Diane Bailey needs a Costco card to purchase food supplies for races. Following up from last month’s meeting, Sharon Ross has spoken with a representative of Starlight Elementary School about its running program for kids and ARR’s potential involvement. The school is looking into allowing parents to get bus ride to events. No decisions have been made yet. Diane Bailey suggests including language in race brochures concerning ARR’s need for volunteers at each race. steven finkelstein will speak to the webmaster about revising the online forms to include this information. steven finkelstein reports on his efforts to secure insurance and an alarm for the Club’s warehouse. The Club has $153,000 in assets as of 12/31/06; this figure to be used for insurance quote. steven finkelstein reports on ARR’s bid to time the Bisbee Stair Climb 2007. Bisbee is reportedly disappointed by ARR’s rate hike. ARR may not be timing this race if Bisbee gets a lower bid. Sharon Ross reports on her efforts to create notebooks for use by new race directors and other volunteers, as discussed at last month’s board meeting. ARR’s recently-departed secretary Phil Davis may have some of this information available for the Club’s use so that Sharon does not need to reinvent the wheel. Meeting adjourned at 8:30.
